By becoming an Eclipse Choir member you have read and agreed to the following:
Eclipse Choir
Eclipse Choir is a business name of Chocolate Box Studios Limited, Registered Company Number 09182612. The Registered Address is 112 Durlston Road, Kingston Upon Thames, KT2 5RU.
Membership
- Eclipse Choir reserves the right to select choir members for admission to the choir based on the limited spaces available in each choir, members’ singing ability and members’ commitment to attend rehearsals. Eclipse Choir reserves the right to stop admission of any member who is not considered a strong enough singer, or does not meet any other other membership obligation.
- Auditions for Eclipse Choir will happen at the start of every term, if there are available places. A waiting list of interested people will be held and those people contacted with an invitation to sing on a set date. Under exceptional circumstances new members may join the choir mid-way through a term, after discussion with, and at the discretion of, Eclipse Choir Staff.
- Eclipse Choir rehearsals run roughly in line with academic term times. They are between 13 and 15 weeks long, held over three academic terms a year. This will not affect the term’s cost to members. (This means a 15 rehearsal term will cost the same as a 13 rehearsal term).
- Eclipse Choir reserves the right to alter the schedule of rehearsals to fit in with performances and other Eclipse Choir events that may be held. No refunds will be given in these circumstances. If rehearsals are cancelled due to a force majeure (e.g. fire, flood, snowstorm etc.) then Eclipse Choir will make best endeavours to provide alternative rehearsal time over the next term. No refunds will be given in these circumstances.
- Eclipse Choir will provide each member musical notation and lyrics for every piece of music to be learned during the term it is studied and members may keep these. If new members wish to obtain musical notation for pieces learned in previous terms, purchasing them will be at their own expense. Copies of musical notation that are lost must also be replaced at members’ own expense. It is strictly forbidden to make photographic copies of musical notation that is under copyright and we will advise members who wish to obtain new copies how to purchase them lawfully.
- It is agreed that any use of Eclipse Choir resources or teaching aids will not be used, amended, copied or replicated at any other event, or to any group or in any venue.
- Eclipse Choir will hold at least one full choir performance per term during normal times – these have been suspended at present due to the coronavirus pandemic – this is usually an end-of-term performance, which will be a ticketed event.
- Eclipse Choir may from time to time provide additional facilities such as recorded music downloads or video footage and extra rehearsals. These are not part of the basic membership offering and are provided only at the discretion of Eclipse Choir.
- In joining the choir, members are assumed to be medically fit to undertake the vocal and physical demands of Eclipse Choir. Any medical condition that may affect a members’ ability, or which the choir director should be aware of, should be entered into the joining form. If an individual has any doubts, these should also be indicated to Eclipse Choir at application.
- All members are advised that photographs and film footage may be taken of members during Eclipse Choir rehearsals and events and used for advertising and marketing purposes in relation to Eclipse Choir.
- No permission will be granted to film or record an Eclipse Choir performance for any professional or commercial purposes without prior agreement.
Payment methods for Membership subscriptions
- Monthly payments: Members are able to set up a monthly direct debit to Eclipse Choir (via our partner GoCardless). This must be set up before the start of term and will continue monthly throughout the year until the member leaves Eclipse Choir. If the member transfers to the monthly payment system partway through the term any fees will be pro rata to the full term amount remaining. When a member making monthly payments wishes to leave Eclipse Choir they are required to email members@eclipsechoir.com requesting cancellation of their membership and must continue paying the monthly fees until that term’s payment is covered. Thus an outstanding payment may need to be settled before the payment scheme is cancelled.
- Full term payments: The term’s payment must be received on or before the beginning of the second week of term. Members are advised that Eclipse Choir may not obtain musical scores for Members who have not yet paid for the term starting. When a member who is making full-term payments wishes to leave Eclipse Choir they are required to email members@eclipsechoir.com to request ending their membership.
- Should a member wish to leave Eclipse Choir during the term, Eclipse Choir will not offer a refund.
Health and Safety
- Eclipse Choir is not responsible for damage to person or personal belongings whilst attending rehearsals and performances or before and after rehearsals and performances.
- Eclipse Choir members are responsible for their own property and well-being whilst attending all rehearsals and performances.
Code of Conduct
- Members of Eclipse Choir are expected to behave in a safe and appropriate manner both in rehearsals and public performance, and anywhere they are representing Eclipse Choir.
- All members are expected to be punctual to rehearsal and performances and respond to the direction of the choir director and Eclipse Choir Staff.
- Eclipse Choir proudly adheres to a friendly and equal opportunity environment. Members who exhibit clearly negative or offensive behaviour to fellow choir members, leadership, staff or audiences will be asked to leave the choir with immediate effect and without refund of their membership fee.
- Eclipse Choir will not be held financially responsible for damage caused by Members’ misconduct.
Data Protection Act
Members’ information held at the Eclipse Choir Office will not be passed to third parties unless agreed to by each member. Members will be contacted primarily by e-mail, or in some circumstances by telephone. Communications will be related only to Eclipse Choir’s activities and for marketing purposes only. By taking up this offer you are giving us permission to contact you in the future unless you expressly tell us otherwise.
